1. JOB TITLE: Director of Sales & Marketing
2. DEPARTMENT: Sales
3. SCOPE OF RESPONSIBILITY:
The Director of Sales is responsible for
directing, coordinating, training, and supervising the Sales Managers,
Catering Manager(s) and the Sales Administrators in all sales-related
activities, including direct sales efforts, follow-up and proper sales
administration. He/she is also responsible for growing existing accounts
and generating new business to ensure the Rooms revenues and Catering
revenues meet or exceed budget in order to maximize revenue and profits,
and to improve the hotel’s performance in the marketplace.
4. EMPLOYEE MANUAL:
All employees must completely understand the
requirements of their job. Prior to being assigned to the position, a
complete understanding of the Employee Manual is necessary since the
person holding the position will be subjected to the rules and regulations
listed in the manual.
5. ESSENTIAL TASKS:
a.
Approach all encounters with guests and employees in an attentive,
friendly, and service-oriented manner.
b.
Maintain regular attendance in compliance with HP Hotel Management
standards, as required by scheduling, which will vary according to the
needs of the hotel but will include a mandatory daily HP Hotel
Management Business Review meeting.
c.
Maintain high standards of personal appearance and grooming, which
include compliance with HP Hotel Management dress code and wearing
a nametag when working.
d.
Comply at all times with HP Hotel Management standards and
regulations to encourage safe and efficient hotel operations.
e.
Ensure that employees are, at all times, attentive, helpful and courteous
to all guests, managers and fellow employees.
f.
Supervise, administer, and ensure timely completion of all activities of
the Sales Department.
g.
Meet or exceed budgeted REVPAR (Revenue Per Available Room) goal.
h. Accurately forecast revenues for next month by the 25th of the month.
i. Analyze short-term fluctuations and direct selling activities to maximize
revenues.
j. Prepare Marketing Action Plan each year in October for following year,
including:
k. Data on Competing Hotels
365 day by day occupied room forecast for following year
• Proposed rate plan for next year and projected ADR
• Marketing Action Steps by segment and month
l.
Budget for marketing expenses
m.
Develop a full working knowledge of the operations of the hotel, including
Food and Beverage, Guest Services and Reservations.
n.
Develop a complete knowledge of company sales policies and S.O.P.’s
and ensure knowledge of and adherence to those policies by the sales
team.
o.
Develop and maintain market awareness to ensure ability to predict
revenue opportunities and set proactive strategies.
p.
Meet or exceed set goals.
q.
Operate the Sales Department within established sales expense budget.
r.
Participate in required M.O.D. and Saturday office coverage as
scheduled.
s.
Be responsible for developing a Manager in Development (MID or
DOSID) as assigned by the Corporate Office, including sign-off on all
competencies, and assist in his/her placement.
t.
Coordinate group, transient and catering bookings to maximize profits.
u.
Initiate and follow up on leads.
v.
Maintain and participate in an active sales solicitation program.
w. Monitor production of all top accounts and evaluate trends within your
market and ensure that the Sales Team is held accountable for those
accounts within their respective territories.
x.
Coordinate all non-group transient sales and catering solicitations to
maximize overall profits.
y.
Administer training in the Sales and Catering departments, according to
HP Hotel Management standards.
z.
Assist in the preparation of required reports in a timely manner.
aa. Conduct weekly sales meetings according to HP Hotel Management
standards.

SUMMARY

 

Works directly with Leisure Sales Manager in handling all aspects of Wholesaler/FIT/Tour Operator business. Responsible for receiving and responding to lead F.I.T wholesaler inquires directly from contracted wholesalers via email, inbound/outbound calls as dispensed, managing and maintaining seasonal contracts (securing rate/package accuracy in existing accounts, and maintaining rate/package accuracy in new accounts). Leisure Sales is a highly demanding and fast paced environment where we encourage innovation and empowerment. Team work and communication are imperative. Self-leadership, common sense and genuine care are qualifications that will help ensure success in this support role to the Leisure Sales Manager.

 

Overall job duties will include the following:

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

 

  • Responds to wholesaler inquires in the allotted contacted time frame of 24 hours.
  • Consistently corresponds directly to wholesale agents via phone –incoming/outgoing, and email communication
  • Constantly reviews interoffice wholesale reservations email mailbox for inquires and reservation requests
  • Responsible for managing multiple extranets
  • Regularly spot-checks pre-existing reservations for errors or added services
  • Assists wholesalers, and staff with inquires or concerns; follows-up to completion
  • Via computer system (Springer Miller System) processes, cancels, and edits reservation wholesale inquiries
  • Maintain complete detailed knowledge of the Wholesaler Segment: accounts, contract details, rate distribution and allocation, payment methods, promotions, including resort services/features and hours of operation
  • Maintains and updates wholesale files and wholesale directory
  • Maintains a positive working relationship with internal departments to ensure effective collaboration
  • Work closely with Leisure Sales Manager, Revenue Management and Operations departments to optimize occupancy and maximize ADR and RevPAR to achieve enterprise-wide strategic goals

·         Attend and actively participate in all applicable department and property meetings including but not limited to Wholesaler One on One, sales meetings, etc.

·         Serving as liaison between Sales, Front Office, and Reservations staff to ensure special client requests are fulfilled in a timely and accurate manner

·         In the absence of the Leisure Sales Manager, the Wholesale Reservations Supervisor must take responsibility with an active role in the success of the Wholesaler Segment by consistently seeking excellence

·         Provide support to the Sales team in the absence of the Leisure Sales Manager

·         Lead site visits, participate in familiarization tours and functions within the hotel, as required, and in the absence of the Leisure Sales Manager.

 

·         Provides feedback to Leisure Sales Manager relating to guest comments, observations, rumors, industry news, etc.

·         Distributes information timely and efficiently to necessary accounts and internal departments.

  • Completes daily reports via computer system (Springer Miller System)
  • Maintains accurate and detailed notes and changes in record which may influence accounts
  • Updates seasonal contracts when required
  • Keeps close record of close out dates from Reservations Manager to ensure optimization of inventory
  • Accurately loads and maintains all wholesale net rates via computer system (Springer Miller System)
  • Up sells property enhancements. i.e. (unlisted views, amenities, facilities etc).
  • Communicates all special wholesale notices and/or inquires such as certain promotions and/or important information to reservations staff/resort staff when required
  • Consistently communicates with accounting, reservations manager and supervisor, sales and marketing managers
  • Reviews and solves pre and post discrepancies to completion
  • Performs job-related departmental laterals assigned by manager when needed
  • Performs other related duties as assigned
  • Availability for normal business hours (Monday through Friday), with flexibility to work hours outside the typical workday based on business demands

QUALIFICATIONS

Must be a self-starting professional with hotel experience and a proven track record in customer service in an innovative and exciting manner that will create sincere, unique, and memorable group experiences. Will utilize effective selling skills to convert both new and repeat group business, present personalized creative proposals, develop sales presentations, and negotiate group contracts on behalf of the resort.   

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

 

§  Target and win over business via outside sales calls, familiarization trips, sales trips, cold calling, networking, attending industry events.

§  Prospect, Solicit and Close new business and maintain repeat clients relationships.

§  Promote good community and industry relations by acting as liaison for the hotel; socially as well as business relationships. Ensure all sales leads and client contact information is properly input into Delphi system.

§  Create and enforce site inspection process that deliver an exciting and memorable visit and addresses the client’s needs

§  Display exceptionally strong negotiation skills with clients, some of whom will require high levels of diplomacy and tact in order to finalize contract.

§  Exhibit exceptional interpersonal skills, establish and maintain open collaborative relationships. Must be able to present self professionally at all times.

§  Participate in the following meeting: Weekly GRC review, Weekly Group Pick Up review.

§  Book individual group business to a mutually agreed upon goal within an assigned region,

§  Prepare group customer proposals.

§  Provide other departments with proper communication that will enhance our ability to deliver exceptional service.

§  Must be open to a flexible work schedule for travel and may be called upon to entertain clients and host FAM trips in the evening hours or weekends.
